Experienced Office Assistant / PA /EA required for beautiful retreat centre in Norfolk.

We are looking for a reliable, highly organised and well-presented person who is happy to offer both general and personal assistance to this wonderful, family business.

The role would suit a very polite, friendly and professional person who would enjoy a varied role working within a small, close-knit team.

Hours

Monday – Friday , 8.30am -5pm

Responsibilities

  • General office duties including filing, data recording, answering the phone, responding to emails etc
  • Assisting the owner personally
  • Using IT with confidence – Word, Excel and diary management
  • Using project management tools such as Click Up to manage tasks for the team
  • Helping with bookings, liaising with visitors and suppliers
  • Assisting with marketing and social media
  • Working with Heads of Departments to complete and chase their check lists
  • Supporting the development of systems and procedures where necessary, to ensure efficiency, quality and cost effectiveness
  • Carrying out timely and accurate information analysis and reporting on agreed areas
  • Assisting and working closely with members of the team, maintaining project plans, and supporting the provision of management information
  • Provide support and information to aid effective management of budgets, including overseeing the placement of orders for goods and/or stationery, and maintain log of expenditure
  • Some basic book-keeping and supporting the accountants with the information for the monthly management accounts

 

The Person 

  • Significant administrative/ secretarial / Personal or Executive Assistant
  • Experience to include developing, implementing and maintaining office systems
  • Good organisational and time management skills, often working to deadlines
  • Experience of organising meetings, agendas and taking minutes/action notes
  • Refined ability to communicate clearly and concisely both orally and in writing
  • Precise attention to detail and accuracy
  • Experienced at working calmly under pressure, handling multiple tasks and prioritising own workload
  • Ability to work without supervision
  • Reliable, punctual and organised
  • A people person who is polite and friendly
  • Excellent knowledge of Microsoft Office Suite (Word, Excel, PowerPoint & Outlook)
  • Educated to degree level/NVQ level 6 in relevant subject or equivalent level of qualification and/or equivalent experience
  • Enthusiasm and a positive attitude, A “can do” attitude and team player with ability to think quickly, proactively AND strategically
  • Practical and hands on
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Ambitious to learn and progress in an office career
  • Car driver
  • Non-smoker
