OFFICE MANAGER – JOB DESCRIPTION
Responsible for the smooth running of all aspects of the Estate Office and some administrative aspects of The Main Lodge and assist with practical projects relating to property refurbishment. Organise preventative maintenance, servicing and repairs.
The role is full time 9am-5pm Monday to Friday primarily office based but some home working can be considered.
The position requires a flexible approach to work and hours worked to ensure deadlines are met especially at busy period, being August to November. This could mean working an occasional weekend and/or evening.
The small office team consists of the Estate Manager, a full time Bookkeeper & HR Administrator, a part time Land and Estates Administrator and the Office Manager. These members of staff report to the Estate Manager but manage office tasks between themselves. The office team will cover for each other’s holidays and when there are significant changes in anyone’s workload.
The Role

Responsibilities / Main Duties:
The Shoot
- Assist with Let Day arrangements, invoicing, the production of Guest Lists for shoot
- Liaising with Lodge Staff over guest itineraries and any other requirements.
- Help keep Head Keeper / Shoot Administrator advised of loader requirements and other guest arrangements.
- Maintain accurate records of Game Bags for the grouse and pheasant shoots.
- Produce and send Game Cards to all guns.
The Lodge / Gardens
- Support up to date recording of the Lodge inventories in conjunction with the Head Butler and Head Housekeeper.
- Support with service and maintenance of Lodge plant and machinery if required.
Property Maintenance & Repairs
- Arrange routine servicing of household equipment, e.g. central heating boilers, water treatment plants, alarms, tools.
- Arrange repair or replacement of the above.
- Assist with renovating or refurbishment of domestic properties e.g. redecoration of windows, rooms, kitchens, bathrooms.
- Help with interiors and furnishing projects e.g. researching and sourcing various fixtures and fittings and suppliers.
Health & Safety
- Maintain PPE register and other Health & Safety documentation and resources, E.g. Employee manuals and updates, first aid boxes, defibrillators.
- Organise First Aid courses and any other training when required.
- Keep other staff aware of Estate Health and Safety procedures and updates.
Other Duties
- Vehicle Licence/tax/MOT renewals.
- Membership renewals of various organisations.
- Subscription renewals.
Office Administration
- Assist with keeping the Estate diary and shoot calendar etc up to date, advise colleagues of events when necessary.
- Ensure a timely response to all telephone calls, mail and emails received into the office.
- Attend to all visitor enquiries.
- All typing and report production.
- Help produce the Quarterly and End of Season reports.
- Assist with the cleanliness and tidy presentation of the Estate office and storage buildings.
- Maintain supplies of stationary and other goods used in the office.
- Foster a collaborative working approach, with internal and external staff.

On job training will be given where needed, external training as and when required.
