Full Time experienced PA required to support the Partners within an established firm of Chartered Surveyors and property advisors located approximately 3 miles from the centre of Ipswich, Suffolk.

Salary: £30,000 – £34,000

Benefits: 25 days’ holiday (plus Bank Holidays), Private Medical Insurance, Pension, Death in Service (all benefits after qualifying period), free onsite parking.

Contract: Full-time, Office Based, Permanent (Monday – Friday), 9:00 a.m – 5:30 p.m.

The office is located in the village of Sproughton, close to Ipswich and with good access from the A12 and A14.

The Role

To work as a key member of the team supporting a dynamic, driven and commercially focussed business of property consultants, by providing a wide range of services to the Partners of the firm in the form of PA and secretarial duties, including diary management, travel arrangements, typing and report creation, confident telephone manner, considerable client contact daily.

The role will be, at times, pressured but as part of a small yet effective team, responsibilities are shared.

The role will be to work very closely with the Partners and their clients to always deliver a first-class service, operating largely in the Rural sector across East Anglia and further afield.

The individual will report to one of the Partners who will be their line manager and who will support them in the development of their career, as well as liaising with the Office Manager in relation to any training requirements to enhance their abilities to perform the role most effectively.

The Partnership has expanded in the last 18 months and is now seeking a conscientious, organised, full time PA with good secretarial ability, audio typing, first-class attention to detail, and organisational skills, who can grow into the role and develop the back up and PA support to the Partners, allowing them to further develop and profitably grow the business.

The successful applicant will need to work as part of a team but also have the initiative to work independently and with enthusiasm, be willing to bring forward new ideas, whilst at the same time embracing current practises.

The role will be varied, and responsibilities will include but not limited to –

  • day-to-day PA support.
  • providing accurate and timely transcription of dictation
  • invoicing on behalf of the Partners and liaising with clients to ensure timely payment of accounts.
  • building relationships with clients, suppliers, and related businesses.
  • management of Partners electronic diaries, planning and scheduling client meetings, conferences, travel arrangements etc.
  • managing and ensuring effective electronic and historic filing is undertaken on a regular basis, to ensure files are kept fully up to date.
  • when necessary, involvement in the management of the business’s website and the production of marketing material as required.

The successful candidate will be able to demonstrate sound organisational skills and PA experience in a professional environment whilst being willing to share in secretarial responsibilities, enjoys being part of a team, is highly professional and enthusiastic in their approach to the role, whilst the same time is not afraid to challenge the status quo with new ideas and approaches.

In addition, the successful individual will have:

  • sound audio typing skills
  • excellent diary management
  • a can do attitude
  • high degree of accuracy and pride in their work.
  • strong verbal, written and numeracy skills, confident communication abilities.
  • effective time management and organisational skills not only for their own work but for influencing those for whom they are working.
  • a high degree of integrity and the ability to manage and identify confidential information.
  • excellent IT skills including MS office/PowerPoint/Excel, and the ability to adapt to existing internal systems.
  • a positive, imaginative, and creative approach to that work.
  • good geographical knowledge of Suffolk, Norfolk and Essex.
  • a sense of humour
