About the Society:

The Society is a registered charity dedicated to protecting and enhancing the countryside, towns, villages and historic buildings of Suffolk. Based in Lavenham Suffolk, the small dedicated team supports the Society’s mission through advocacy and community engagement.

ROLE OVERVIEW:

The Office Manager has a proactive, pivotal role ensuring the efficient operation of the Society’s office, whilst reporting directly to the Director and the Trustees. This is a part-time role requiring 20 hours a week, over 3 days which will be agreed with the Director.
There will usually be 2-3 people in the office, so although not a large team this is not an isolated role.

KEY RESPONIBILITIES:

Office Administration:

  • To oversee the day-to-day running of the office, including dealing with the post, emails, filing, diary management, including setting up meetings, copying, and general administrative support. Dealing with any general enquiries as they arise.
    To liaise with the Chair and the Board of Trustees and other bodies, as necessary.
  • Bookkeeping and Financial Administration:
  • To input financial data to SAGE cloud or other software if adopted, reconcile bank statements, manage invoices and payroll and prepare monthly financial reports for approval by the Director and the Treasurer or Chair of the Board.
    Liaising regularly with the Society’s accountants, ensuring timely and accurate sharing of financial data and documentation.

Office operations:

  • To manage office supplies, stationery orders, filing systems (physical and digital) and support communications such as mailshots using Mailchimp or similar tools.
  • IT and Systems management:
  • To maintain office IT systems, including back ups and virus protection updates. Reporting regularly on system status to the Director.
  • Meetings Administration:
  • To organise and provide administrative support for Quarterly Board meetings and the Annual General Meeting, including preparation and circulation of minutes.

Charity Compliance:

  • To complete the Charity Commission returns and Annual Accounts in liaison with the Society’s accountants for approval by the Board for submission by the Director.

Events Support:

  • To provide administrative support for the Society’s events, including ticketing via Eventbrite or other appropriate platforms. There will be the opportunity for the new staff member to attend events enjoying people facing activity away from the office.

Membership Management:

  • To maintain and regularly update the Society’s Access membership database
  • Media and Communications Support:
  • To assist in the distribution of media releases, drafting articles, and helping to co-ordinate radio/TV interviews on behalf of the Director. To assist in the production of the Newsletter

We are looking for someone who can assist a young rider who is already successful in the USA.

The ideal person will be able manage the small yard ( max 2 horses ) to a very high standard with the welfare of the horses at the forefront.

Someone with a passion for eventing, who can provide support, advice and encouragement to the young rider.

The rider is under the guidance of a young 5* event rider, so the successful groom must be happy taking and following instructions as and when required.

A good competent rider is essential to hack the horses and also to carry out the fittening work whilst the rider is at school.

Travelling to events during the season will be part of this role, so weekends will be required and knowledge of what is required during the day is essential. Preparing the lorry for the journeys, including making sure all tack, clothing etc are packed,  preparing the horse ( bandaging, plaiting etc), tacking up and studding up once at the event, lunging and helping rider on board. Checking timings of disciplines and making sure horse and rider arrive on time. Cooling the horses off and driving them safely home.

The garden comprises of 25 acres of historical parkland with gardens laid out 20 years ago. There are peony gardens, formal rose gardens, mixed herbaceous and shrub borders, formal lawns and hedges, extensive herbaceous borders, cut flower and vegetable garden, polytunnel and greenhouse. Large collection of bulbs planted throughout the historic landscape, with Galanthus, Camassias and Narcissus. A busy garden which has a various aspect to it, although only 20 years old, the garden is now reaching its maturity, and the garden continues to develop and evolve. Working with the Family, alongside the small team and other members of staff on the estate the garden forms a wonderful setting for the private home at its centre.

A good knowledge of compact tractors, implements, pedestrian mowers and handheld machinery is desirable in this role, PA1 and PA6 spray certification is essential. Knowledge of automatic irrigation systems and cylinder mowers would be advantageous, as would chainsaw certification, although contractors are used for larger tree works. Propagation and cultivation of ornamental and edible plants as well as the knowledge of division of herbaceous perennials and pruning of a wide array of shrubs and trees is needed.

The candidate will need an eye for detail and the will to constantly improve the garden in its next chapter for a passionate horticultural family. This role would suit someone who is looking to care for and nurture this special garden, developing the garden further to carry on the forward trajectory of it.

  • 3.00pm-5.00pm or 3.30pm – 5.30pm or 4.00pm-6.00pm, 2 or 3 afternoons a week depending on what works best for the nanny. The family can be quite flexible- its more about finding a routine that works for everyone.

A car driver is not necessarily essential, as long as the person can get to and from the families home which is near Holt, the family can work around it. This could however include a school and nursery collection if the person can drive, using the families car.

The role:

  • Sole care of the children after school, playing outside in the lighter months and doing age appropriate activities, they love playing tag, reading, colouring, playing with their toys, painting, baking etc.
  • Feeding them their supper and then encouraging wind down time before their parents return from work
  • General tidying up after the children
  • Getting clothes ready for the next day

The Person:

  • Someone who has a genuine love for children
  • Someone who loves the countryside and is active
  • An animal lover
  • Someone who is creative, caring, kind and fun
  • Someone who enjoys cooking and baking healthy, clean meal plans

Essentials:

  • Glowing references
  • Enhanced DBS check before starting
  • Clean driving licence (for all car drivers)
  • Non-smoker

The family feel that this position would suit someone local who loves being around children and is able to spare a few of their afternoons to help out. It could alternatively work well for a student (school, college or university)  who is looking to earn around their education.
